Get booking, order and loyalty alerts in Telegram, Slack, Teams and other chats

A short message in your team chat the moment a guest asks for a table, places an order or earns a reward — in Telegram, Slack, Microsoft Teams, Google Chat, Discord or Mattermost.

Your staff already live in a chat. Connect it once and TapTime posts there whenever something happens that someone should act on: a booking request to confirm, a new takeaway order, a cancellation, a reward to hand over. Only the company owner can set it up.

Telegram

  1. 1
    Create a bot

In Telegram, open @BotFather, send /newbot, give it a name and copy the token it sends back (it looks like 123456789:AA…).

  2. 2
    Add it to your chat

Add the bot to your staff group, or make it an admin of your channel, and send any message there so the bot sees the chat.

  3. 3
    Connect it

In the panel, choose Telegram, paste the token and press Find chats. Pick your group; for a group with topics you can add the topic’s number to post into one topic only.

  4. 4
    Choose events and language

Tick what the chat should hear, pick the language of the messages and press Connect, then Send test.

Slack, Teams, Google Chat, Discord and Mattermost

These use an incoming webhook: an address the chat gives you that posts into one channel. Create it, paste it into the panel, choose the events and the language and press Send test.

What a message says

  • A title with what happened: new booking request, booking confirmed, new order, reward earned…
  • For a booking: the guest’s name and phone, the time, guests and table, or the service and specialist, the location and where the guest came from.
  • For an order: its number and table or name, the items, the total, takeaway or delivery and the address.
  • For loyalty: the member, the program, stamps so far, and the reward and its code.
  • A link that opens the right screen in the panel.

Keeping it private

Anyone with a webhook address or a bot token can post into your chat, so TapTime stores them encrypted and only ever shows a shortened copy. Messages carry the guest’s name and phone but never their email. If a chat is shared with people outside your team, choose fewer events or remove the connection.

When a message does not arrive

Each connection has a Delivery log with the chat’s own answer. The usual causes: the bot was removed from the group or is not an admin of the channel, or the webhook was deleted in the chat — create a new one and paste it with Edit. Failures from a busy chat are retried on their own.

Frequently asked

Can different locations post to different chats?

Every connection hears about the whole company, and each message names the location. To split by location, create a chat per location and connect it with the events you want; a filter per location is not available yet.

Are messages sent in my language?

Yes. Each connection has its own message language — any of the panel’s languages — chosen when you connect it and changeable with Edit.
