Terms of Service

The agreement between you and TapTime: what the service does, what a business pays, what a guest can expect, and where our responsibility ends and a venue's begins.

These terms govern your use of TapTime — the marketing site at tapti.me, the business panel at app.tapti.me, and the booking, menu and loyalty pages a venue publishes through us. By creating an account or using any of it, you agree to them.

They are written to be read. Where a section applies only to businesses or only to guests, it says so.

Who this agreement is with

The agreement is between you and TapTime, operated by the company that runs tapti.me. If you accept these terms for a company, you confirm you are allowed to bind that company, and “you” then means the company.

What the service is

TapTime is software a venue runs its front of house on. It comes as four modules, taken separately or together.

  • QR menu: a menu guests open on their phone, with optional ordering from the table.
  • Table reservations: a floor plan, a booking page and a website form.
  • Loyalty cards: a digital stamp card, scanned at the till.
  • Appointments: services, specialists and an online booking page.

We provide the software and keep it running. We do not cook, serve, cut hair or treat patients: every service a guest actually receives is sold and delivered by the venue, under the venue's own terms.

Accounts

Guests sign in with a phone number and a one-time code. Business users sign in with an email address and a password. You must be at least 16, give accurate details, and keep your credentials to yourself. Anything done through your account is treated as done by you, so tell us at once if you think someone else has access.

A business owner is responsible for the team members they invite and for the level of access they grant them. Removing someone from the team is the owner's job, and takes effect immediately.

For guests

Using TapTime as a guest is free. A booking you make is a booking with the venue, not with us: the venue confirms it, honours it, changes it or cancels it, and any deposit, cancellation fee or house rule is theirs and is shown to you before you confirm.

  • Turn up for what you book, or cancel from the link we send you so the table or slot goes back into circulation.
  • A venue may decline or cancel a booking, and may refuse service, on the same grounds it could if you had phoned.
  • Loyalty stamps and rewards belong to the venue's program. They have no cash value, and they end if the venue closes the program or the business closes.
  • Do not scan another person's loyalty code, and do not use someone else's account.

You can delete your guest account at any time from Profile → Delete account, and the privacy policy explains exactly what that removes.

Free trial

Each module is free for 14 days at each location, without a card. When the trial ends, the module stops unless you have chosen a plan — nothing is charged automatically because there is nothing on file to charge.

Plans and payment

Business subscriptions are priced per module, per location, per month, in the currency of the market you registered in. The prices page shows the current figures.

  • You pay in advance for each billing period, and the period renews until you switch the module off.
  • Two modules — reservations and appointments — are priced by size, by the number of tables or specialists. You pick the tier; moving up applies immediately and moving down applies from the next period.
  • Switching a module off stops the billing for it from the end of the period you have paid for. The rest keep running.
  • Prices are exclusive of VAT or local sales tax unless stated. Where we must charge it, it is added at the rate of your country.
  • If a payment fails we retry it and write to you. If it keeps failing we may suspend the paid modules until it is settled; your data is not deleted while a subscription is merely unpaid.

We can change prices, but not without telling you: at least 30 days' notice by email before a change applies to your subscription, and you may cancel before it takes effect.

Canceling

Cancel a module, or the whole subscription, from the panel at any time. It runs to the end of the period you have paid for and does not renew. We do not charge a cancellation fee and we do not refund the remainder of a period already started, except where the law of your country gives you that right or where we have failed to provide the service.

Your data

For businesses: the content you put into TapTime — your menu, your floor plan, your guest records, your photos — stays yours. You give us only the permission we need to host it, display it to your guests and back it up. We do not sell it and we do not use it to train anything.

You can export your data from the panel while your account is open. After you close an account we keep it for 30 days in case it was a mistake, then delete it from live systems, with backups following on their own cycle.

Where you collect guest data through TapTime, you are the controller of it and we process it for you, on the terms in our privacy policy. That means it is your job to have a lawful reason for what you collect, to honor a guest's request about their own records, and to keep your team's access sensible.

Acceptable use

Do not do these things, with an account or against the service.

  • Send spam, or message people who have not asked to hear from you.
  • Upload content you do not have the rights to, or content that is illegal where you operate.
  • Scrape, hammer or reverse-engineer the API, or work around rate limits and access controls.
  • Use the product to collect data you have no lawful reason to collect.
  • Resell or white-label TapTime as your own product without a written agreement with us.
  • Interfere with other customers' use of the service, or with its security.

Payments guests make to a venue

Where a venue takes payment through TapTime, the money is between the guest and the venue, handled by the payment provider the venue has connected. We pass the instruction on and record the outcome; we do not hold the funds, and refunds, chargebacks and receipts are between the guest, the venue and that provider.

Availability and changes

We aim to keep TapTime available around the clock and we do maintenance at quiet hours, announcing anything that will interrupt service. We do not promise uninterrupted or error-free operation.

The product changes: features are added, improved and occasionally retired. If we remove something you rely on, we give at least 30 days' notice and, where it materially reduces what you pay for, the right to cancel without penalty.

Responsibility and its limits

TapTime is provided as it is. We are not a party to the arrangement between a guest and a venue, and we are not responsible for a missed appointment, a table that was not held, a service that disappointed, or a venue's own policies.

To the extent the law allows, we are not liable for lost profit, lost bookings, lost data or indirect loss, and our total liability to a business in any 12-month period is limited to what that business paid us in the same period. Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not let us limit — and if you are a consumer, your statutory rights are untouched.

Suspension and closing an account

You may close your account at any time. We may close or suspend one for a serious breach of these terms, for non-payment that stays unresolved, or where we must by law. Except in an emergency we give notice first and a reasonable chance to fix the problem, and we give you a window to export your data.

Law and disputes

These terms are governed by the law of the country where TapTime is established, and its courts have jurisdiction. If you are a consumer, this does not take away the protection of the mandatory law of the country you live in, and you may bring a claim in your own courts.

Before that, please write to us. Almost everything is settled faster by an email than by a filing.

Changes to these terms

We update these terms when the product or the law changes. The date at the top always shows the current version, and material changes are announced to account holders by email or in the panel at least 30 days before they apply. Continuing to use TapTime after that means you accept the new version; if you do not, you may cancel.
