How does online booking work for an auto repair shop?

Your shop publishes a booking page listing each job, such as an oil change, diagnostics or a tire change, with how long it takes and what it costs, and showing only the times still free. The driver books time with a specific mechanic or anyone available and receives a confirmation email. With TapTime the page opens in any phone browser, and every booking goes into one workshop calendar.

Workshop schedules break down when bookings are kept in several places.

When jobs are tracked on a whiteboard, in a phone and in memory, overlaps, unplanned absences and overruns are hard to avoid.

01

Double-booked mechanics and bays

One job is written on the board, another is taken by phone for the same time. Both customers arrive, and one of them has to wait.

02

Absences are not visible to everyone

Holidays, training days and reduced weekend teams are often known to one person only, so jobs get booked into time when no one is available.

03

Jobs take longer than the time allowed

Test drives, cleaning and customer calls are rarely planned in. A small overrun on each job puts the whole day behind schedule.

One calendar for the whole workshop.

Set up mechanics, hours, days off and buffers once. The booking page then offers only the time that is actually free.

  • Individual schedules for each mechanic

Add each mechanic with a photo, a title and weekly hours. A mechanic who works Tuesday to Saturday is offered only on those days.

  • Every job with a duration and a price

Set a 45-minute oil and filter change, a 60-minute diagnostics scan or a 90-minute inspection. Drivers see the price before booking and reserve the right amount of time.

  • The workshop day at a glance

One calendar shows every mechanic's schedule. Mechanics can also be limited to their own schedule in the dashboard.

  • A buffer after every job

Each service has its own buffer for the test drive, cleaning and paperwork, so no one is booked into time that is not free.

  • Counter bookings in the same calendar

Cars dropped off at the counter are entered in the calendar like online bookings. There is one schedule for the day and no second book at the desk.

  • Several workshops in one account

Each location has its own mechanics, services and booking page, managed from the same dashboard, with staff scoped to their site.

Set up your workshop calendar in three steps.

No onboarding call, no setup fee and no software to install. Everything is done in the browser.

  1. 1

    Add your mechanics or bays

Enter a name, photo and title for each mechanic, or add bays if you plan by lift rather than by person. Then set weekly hours and days off.

  2. 2

Set a realistic duration for every job

Enter the duration, price and buffer for each service. The entry plan includes 10 services; start with the jobs you do every week.

  3. 3

    Work from one calendar

Online bookings appear automatically, counter bookings are added manually, and everyone in the workshop sees the same schedule.

Whiteboard compared with a shared calendar.

Whiteboard and a phone list

  • Weekend staffing. Known to one or two people
  • Holidays. Noted somewhere, often missed
  • Two jobs at the same time. Both customers arrive and one waits
  • Time between jobs. Not planned
  • Counter bookings. A separate list at the desk
  • Next day's plan. Clear only the next morning

TapTime workshop calendar

  • Weekend staffing. Each mechanic's weekly hours
  • Holidays. A day-off override that blocks bookings
  • Two jobs at the same time. The slot is removed as soon as it is booked
  • Time between jobs. A buffer after every service
  • Counter bookings. In the same calendar as online bookings
  • Next day's plan. Visible in advance for each mechanic

Every booking, cancellation and completed job shared with your team

The calendar prevents double bookings; integrations keep everyone informed. Chat alerts, automations, webhooks, the REST API and ad conversions are included with appointments at no extra cost and no per-event fee.

  • Google Ads
  • Meta
  • Google Analytics 4

See which campaigns bring in which jobs

Every online booking keeps its UTM tags and click id. When it is confirmed, Google Ads, Meta and GA4 receive one conversion valued at the service price, so higher-value jobs are weighted accordingly.

Separate chats for the front desk and the workshop

Choose which events each chat receives. The front desk's Telegram group gets new requests to confirm; the mechanics' Slack or Teams channel gets cancellations, so freed slots are visible at once.

Completed jobs in your accounts, without code

When a booking is marked completed, Zapier, Make, n8n or Pipedream can add it to your accounting tool or a job sheet in Google Sheets, with the customer, time and service. No code is required; press Send test to set it up.

  • Webhooks
  • REST API

Webhooks and API for your workshop system

Webhooks signed with HMAC-SHA256 send every status change to your own software. A read-write API key can confirm, cancel, mark a no-show or complete a booking, and the same alerts are sent. No partner application is required.

Workshop pricing based on the number of mechanics.

From 39 € a month for up to 3 mechanics or bays and 10 services, 69 € for up to 7 and 20 services. Each one gets their own hours and calendar column, and bookings are unlimited. Free for 14 days, no card required.

Each additional workshop has its own booking page and subscription, managed from one dashboard, with staff limited to their own location. Other TapTime modules are priced separately and can be added at any time.

Frequently asked questions

Do customers need an app?

No. Drivers open the booking page in the phone's browser, and your team uses the dashboard in any browser. There is nothing to install on either side.

Can I plan by bay instead of by mechanic?

Yes. A specialist in TapTime is a name with a photo, a title and a working week, so you can create bays and let drivers book a bay. Billing counts bays and mechanics the same way.

Can drivers choose their mechanic?

Yes, if you enable it. Drivers choose a name on the page or select anyone available, and the page shows only the hours that mechanic has free.

Can I take bookings every 15 minutes?

Yes. The slot step is a setting: 15, 20 or 30 minutes. Each service still blocks its full duration plus its buffer, so a short step does not overbook the day.

How do I keep time for the test drive and the wash?

Give the service a buffer: minutes after the job that cannot be booked. It applies every time that job is booked, so the schedule reflects the real time each job takes.

What about the cars we take at the counter?

Enter them in the calendar manually. Online and counter bookings share one list, so a walk-in blocks the slot online just as an online booking does.

What does it cost for a workshop with five mechanics?

Five mechanics fall under the middle plan: 69 € a month for up to 7 mechanics and 20 services. Up to 3 mechanics and 10 services is 39 €. Paid monthly by card, no contract, no setup fee.

What happens if I stop paying?

After a short grace period the module is paused and the booking page shows a brief “temporarily unavailable” note. Nothing is deleted: your mechanics, services, hours and bookings are kept as they were.

Can our workshop's Telegram group get a message when a booking is cancelled?

Yes. Connect a Telegram group, or Slack, Microsoft Teams, Google Chat, Discord or Mattermost, from Integrations in TapTime and choose the events it receives: new requests, confirmations, cancellations, no-shows or completed jobs. Each message arrives within seconds with a link back to the calendar.
