How does online booking work for a massage studio or spa?

An online booking page lists your treatments with their length and price, shows only the hours each therapist is free, and lets a client book from any phone browser. With TapTime the client picks a therapist or takes anyone available, gets a confirmation email and a reminder a day before, and the booking lands on the same calendar as the ones you take at the desk.

Wednesday, 21:15, at Juniper Day Spa.

One evening and the two days after it, with the phone on silent.

  1. A client with a stiff neck opens the link from your Instagram bio, picks deep tissue, 60 minutes, with Lea, and takes Friday at 18:00. The confirmation email arrives before she puts the phone down.

  2. You open the calendar with your coffee. Seven sessions across two therapists, three of them booked overnight. Nobody wrote a thing down.

  3. A regular calls about her lower back. You add her to Friday 15:00 at the desk, and the page stops offering that hour a second later.

  4. The reminder went out yesterday evening by itself. She arrives on time, the room is ready, and not one treatment this week was interrupted by the phone.

Your hands are busy for sixty minutes at a time.

Every call, every message and every “do you have anything Thursday?” arrives in the middle of a treatment. You answer at 21:00, or you never answer at all.

  1. 1

    The phone rings mid-treatment

You are not going to stop a deep tissue to see who is calling. The client who reached voicemail at 15:00 booked at the studio down the street at 15:04.

  2. 2

Instagram DMs are not a diary

Prices in one chat, “is Thursday free?” in another, a missed call in between. Two people end up holding the same 18:00 and one of them has to be told no.

  3. 3

    The 16:00 that nobody refills

A cancellation reaches you an hour before. The room sits empty, the oil warms for nobody, and the client who would gladly have taken that hour never knew it was free.

A booking page a client understands in ten seconds.

Treatments, therapists and the hours that are actually free. They choose, the day fills, and nothing interrupts the room.

01

Treatments with length, price and a buffer

Deep tissue 60 minutes, an aroma ritual 90, a short back and neck 30. The price is on the page, and a buffer after each one turns the room around before the next client.

02

Each therapist's own week

One therapist on mornings, one Thursday to Sunday, the studio closed on Monday. Day-off overrides for a holiday. The page offers what is left and nothing more.

03

Their therapist, or anyone available

A regular books the same pair of hands by name. Everyone else takes the first free hour with whoever is on that day.

04

Confirmation, then a reminder 24 hours before

Both emails automatic. Switch on instant confirmation, or keep manual approval and confirm each booking yourself before the email goes out.

05

A canceled hour puts itself back

The client cancels or moves the booking from the link in the email, up to the deadline you set. The freed hour returns to the page and the next person takes it.

06

One link, wherever clients look

Your Instagram bio, your Google Business profile, your website, a WhatsApp reply. It opens in the browser; there is nothing for a client to install.

Live before tonight's last session.

No onboarding call, no setup fee, nothing to install. Most studios publish the page between two clients.

  1. 01

    Open the account

Your studio and its first location. Two minutes on your phone, no card.

  2. 02

    Add treatments and therapists

Each treatment with its length, price and the buffer after it. Each therapist with a photo, a title and their working week.

  3. 03

Put the link where clients already are

Instagram bio, Google profile, website, the message you send back on WhatsApp. The first booking usually arrives the same evening.

Know which Instagram post booked the 18:00 deep tissue, and hear about it quietly

Hands busy, phone face down: the booking still reaches your chat, and the ad that earned it gets the credit. Conversion tracking, chat alerts, automations and the API come with appointments at no extra cost and no per-event fee.

How conversions, webhooks and the API work
  • Google Ads
  • Meta
  • Google Analytics 4

Monday’s Instagram ad, Friday’s session, credited

The campaign is remembered on the client’s phone for 30 days. When the booking is confirmed, Meta, Google Ads and GA4 get one conversion valued at the treatment price, sent from the server.

  • Telegram
  • Slack
  • Microsoft Teams
  • Google Chat
  • Discord
  • Mattermost

Requests to confirm, waiting in Telegram

On manual approval? Each request posts to your Telegram, Slack or Google Chat in seconds, so between sessions you see who wants Friday at 18:00 and confirm it from the link.

  • Zapier
  • Make
  • n8n
  • Pipedream

Clients into Mailchimp or a sheet, no code

Zapier, Make, n8n or Pipedream can add each client who books to a Mailchimp audience or a Google Sheet, ready for the next offer you send. No code; press Send test to map the fields.

  • Webhooks
  • REST API

Your spa’s own website and software, in step

Signed webhooks send each booking and every change to your website or spa software as JSON. The REST API reads appointments and an event feed, and a read-write key can confirm or cancel.

Priced by therapists, not by bookings.

From 99 ₾ a month for a studio with up to 3 therapists and 10 treatments; 169 ₾ for up to 7 therapists and 20. Unlimited bookings, the booking page, confirmation and reminder emails and the shared calendar are all included. No setup fee, no contract.

A second studio? Each location gets its own booking page and its own subscription, run from one dashboard with staff scoped to their location. Other TapTime modules, like a loyalty card for regulars, are switched on separately and priced on their own.

Built for every room where people book an hour of quiet.

Questions studio owners ask before switching.

Do clients need an app to book?

No. The booking page opens in the phone's browser from a link in your Instagram bio, on your Google profile or on your website. There is nothing to install and no account to create.

Can I still take bookings by phone and at the desk?

Yes. Bookings you enter at the desk sit in the same list as the ones from the page, and the page stops offering an hour the moment it is taken.

Can a client choose their usual therapist?

Yes. Each therapist has a photo and a title on the page, and the client picks one or takes “anyone available”. A therapist can also be limited to their own schedule in the dashboard.

Can I leave a gap between sessions?

Yes. Every treatment has a buffer after it, so the page never books the next client into the time you need to change the linen and air the room.

How do I stop someone booking a 90-minute session for ten minutes from now?

Set a minimum notice — two hours, say — and a booking horizon so nobody books six months ahead. A cancellation deadline stops last-minute cancellations from the email link.

Does every booking need my approval?

That is your choice. Automatic confirmation sends the email instantly; with manual approval the booking waits in the dashboard until you confirm it.

What does it cost and is there a contract?

From 99 ₾ a month for up to 3 therapists and 10 treatments, 169 ₾ for up to 7. Paid monthly by card, no contract and no setup fee. The first 14 days are free and you do not enter a card to start.

What happens if I stop paying?

After a short grace period the booking page is paused and shows a brief “temporarily unavailable” note. Nothing is deleted: treatments, therapists and bookings all stay. Pay again and the page is back.

Can my massage studio see which Instagram ad a booking came from?

Yes. TapTime saves the UTM tags, the Meta click id and the referrer on each online booking, and shows them on the booking and as booking sources on the dashboard. Confirmed bookings go to Meta’s Conversions API, deduplicated against your pixel, so each counts once.
