Appointments · Physiotherapy and rehab

Your therapists, their hours and every follow-up on one calendar.

Patients book each session from your page: the assessment now, next Tuesday's treatment straight after it. Each therapist keeps their own working week, every patient gets a reminder 24 hours before, and a changed shift becomes a reschedule instead of an empty hour. From 669 PHP a month, 14 days free.

How does online booking work for a physiotherapy clinic?

A booking page lists your sessions with their length and price, shows only the times each therapist is free, and lets a patient book from a phone browser. With TapTime every booking sits on one team calendar, whether it came from the page or from the front desk, and the patient gets a confirmation, a reminder a day before, and a link to move the session.

A course of treatment is ten chances to lose a patient.

An assessment, six sessions, two follow-ups. Every one of them is a time somebody has to agree, remember and turn up for — and the desk arranges them all between phone calls.

01

Next week's session gets arranged at the door

Coat on, the next patient already waiting, and you are turning pages to find Tuesday. Half of them say “I'll call you to book”, and half of those never call.

02

Three therapists, one 15:00

Different hours, different days off, one shared sheet. Somebody gets written in while the therapist is still with the previous patient, and the corridor sorts it out.

03

The Thursday nobody canceled

A patient's shift changes. Ringing to explain feels like a fuss, so they simply do not come, and an hour of a therapist's week is gone with no warning.

One schedule the whole clinic works from.

Sessions, therapists and free times in one place, so the next appointment is made in seconds — at the desk or by the patient, from their phone.

  • Sessions with duration, price and buffer

Assessment 45 minutes, treatment 30, a follow-up review 20. Each with the price the patient sees and a buffer after it, so the next patient is not waiting in the corridor.

  • The whole team on one calendar

Every therapist's day side by side, in one view. A therapist can be limited to their own schedule, so they open the day and see their patients only.

  • Each therapist's hours and days off

Mornings only on Friday, Saturdays for one therapist, two weeks of leave in August. Set the week once and override the days that differ.

  • The next session booked before they leave

Add it at the desk while the patient is still with you, or let them take the next free time from the page. Each session of the course is a booking of its own.

  • A reminder 24 hours before every session

By email, automatically, for each appointment in the course. The confirmation and the reminder both carry the link to cancel or move it.

  • Rescheduled instead of missed

The patient moves Thursday's 11:00 to Friday from the link, up to the deadline you set. The hour goes back on the page and somebody else books it.

The clinic's schedule online this week.

No onboarding call, no setup fee, no software to install. Add the team, set the rules, publish the link.

  1. 1

    Create the clinic account

The clinic and its first location. Two minutes, no card.

  2. 2

    Add sessions and therapists

Each session with duration, price and buffer. Each therapist with a photo, a title and their own weekly hours.

  3. 3

Set the rules and share the link

Minimum notice, how far ahead patients may book, a cancellation deadline, automatic or manual confirmation. Then put the link on your site and your Google profile.

A paper schedule versus one shared calendar, honestly.

Paper schedule and phone calls

  • Booking the next session. Arranged at the door, or “I'll call you”
  • Who is free at 15:00. Three diaries and a shout down the corridor
  • Different working hours. In someone's head, until that someone is off
  • Reminders. A call, when the desk finds a minute
  • A patient who cannot make Thursday. A no-show and an hour nobody refills
  • What it costs. The sessions that never got rebooked

TapTime online booking

  • Booking the next session. Added at the desk or taken from the page in a minute
  • Who is free at 15:00. The whole team's day in one view
  • Different working hours. A weekly schedule per therapist, with day-off overrides
  • Reminders. Email 24 hours before, automatic
  • A patient who cannot make Thursday. They move it from the email, the hour reopens
  • What it costs. From 669 PHP a month for up to 3 therapists

Monday, 18:20, at Meridian Physiotherapy.

One week of a shoulder rehab course, booked one session at a time.

  1. A patient finishes his assessment. At the desk you add his first treatment, Wednesday 09:30 with Ana, to the same calendar. The confirmation email reaches him before he gets to the car park.

  2. He remembers that Friday is a work trip. From the link in the email he moves Friday's session to Monday 08:00. No call, no crossing out, no message to the desk in the morning.

  3. Ana opens her own schedule: five patients, her hours only. The Friday hour that opened last night has already been taken by a new patient who found the page on Google.

  4. The reminder went out yesterday morning, and he arrives for the session he moved himself. Ten days of the course are on the calendar, and the desk answered the phone four times today, not forty.

Every session of the course, and every missed one, reported where your clinic works

Cancellations, no-shows and completed sessions reach the clinic chat and your patient system without a phone call. Chat alerts, automations, webhooks, the API and ad conversions are included with appointments at no extra cost.

How conversions, webhooks and the API work
  • Google Ads
  • Meta
  • Google Analytics 4

Ad reporting with patient details held back

Confirmed online bookings can reach Google Ads, Meta and GA4 as conversions at the session price. Meta’s hashed email and phone can be switched off, and sessions the desk books are never sent.

  • Telegram
  • Slack
  • Microsoft Teams
  • Google Chat
  • Discord
  • Mattermost

A missed Thursday seen before the day ends

When a session is cancelled or marked no-show, the clinic’s Teams, Slack or Telegram hears it in seconds, so the desk can call the patient back into the course that same afternoon.

  • Zapier
  • Make
  • n8n
  • Pipedream

Completed sessions into your CRM, no code

Zapier, Make or a self-hosted n8n can log each completed session to HubSpot, Pipedrive or a Google Sheet, so you see where each patient is in the course. No code.

  • Webhooks
  • REST API

Your clinic software, fed by signed webhooks

Each booking and status change arrives as JSON signed with HMAC-SHA256. The REST API reads appointments and an event feed, and a read-write key can mark a session completed or no-show.

Priced by therapists, not by sessions.

From 669 PHP a month for a clinic with up to 3 therapists and 10 services; 1 189 PHP for up to 7 therapists and 20. Unlimited bookings, the team calendar, the booking page and every confirmation and reminder email are included. No setup fee, no contract.

A second clinic gets its own booking page and its own subscription, managed from the same dashboard with staff scoped to their location. Other TapTime modules are switched on separately, each with its own price and its own free trial.

Questions clinic managers ask before switching.

Do patients need an app to book?

No. The booking page opens in the phone's browser from a link on your website, your Google profile or a message. There is nothing to install and no account to create.

Can the front desk keep booking sessions for patients?

Yes. Sessions entered at the desk go on the same calendar as the online ones, so the day is one list whatever the source, and the page only offers what is still free.

Can a patient book a whole course of treatment at once?

Each session is booked separately, either at the desk after the current one or by the patient from the page. There are no packages to buy and nothing is paid online.

Can a therapist see only their own patients?

Yes. A specialist can be limited to their own schedule, so they open the calendar and see their day. Reception keeps the view of the whole team.

How do different working hours and holidays work?

Every therapist has their own weekly hours, plus overrides for single days — leave, a course, a Saturday clinic. The page only offers hours that survive both.

What happens when a patient cannot come?

They cancel or reschedule from the link in the confirmation or reminder email, up to the deadline you set. The freed hour goes straight back on the booking page.

What does it cost and is there a contract?

From 669 PHP a month for up to 3 therapists and 10 services, 1 189 PHP for up to 7. Paid monthly by card, no contract and no setup fee. The first 14 days are free, with no card to start.

What happens if I stop paying?

After a short grace period the booking page is paused and shows a brief “temporarily unavailable” note. Nothing is deleted: therapists, services and bookings stay exactly as they were.

Can a physiotherapy clinic send its bookings to its own patient software?

Yes. TapTime posts each booking, cancellation, no-show and completed session to your software as a signed webhook, and the REST API lets it read appointments or change their status. If you use ad conversions, the hashed email and phone sent to Meta can be switched off.
