How do you schedule several vets in one clinic?

Give each vet their own weekly working hours and day-off overrides, with a buffer after each consultation type, and keep every booking on one shared calendar. TapTime does this for a veterinary practice: the online booking page offers only the slots free for the chosen vet, reception adds phone bookings to the same list, and a vet can be limited to seeing just their own schedule.

Thursday, 08:30, at Northgate Veterinary Practice.

A surgery morning with three vets, seen from the front desk.

  1. Reception opens the day view. Dr. Marinov's column is blocked until 12:00 for surgery. Dr. Kostova and Dr. Ilić have eleven consultations between them, four of them booked online overnight.

  2. An owner calls about a vomiting dog. The first free slot with any vet is 10:40 with Dr. Ilić; reception adds it to the list while the owner is still on the line.

  3. Dr. Kostova's 11:00 consultation ends. The 10-minute buffer after it gives her time to write up and clean the room before the 11:40 walks in.

  4. Dr. Marinov comes out of surgery and opens his own column on his phone: the afternoon starts at 13:00 with a follow-up. He did not have to ask anyone.

The paper diary knows the day. Only one person can read it.

Three vets, two consultation rooms, a surgery morning and a receptionist with the phone on her shoulder. The diary is on the desk; the questions are everywhere else.

  1. 1

Two owners, one slot, two vets who both said yes

One vet booked the 11:00 himself in the corridor. Reception gave the same room to a colleague's spaniel. Somebody waits forty minutes with a nervous dog.

  2. 2

    Surgery mornings get booked over

Thursday morning is surgery. The new receptionist did not know; the diary did not stop her. Two consultations now have to be moved, and two owners have to be called.

  3. 3

Nobody can see the day without walking to the desk

Which vet is free at 15:00? How many patients before lunch? Is the 14:30 a follow-up or a first visit? Everyone asks reception, and reception is on the phone.

Every vet's day on one screen, with the rules built in.

Hours, days off, buffers and surgery mornings live on the calendar itself. The booking page and reception both book against the same truth.

01

Each vet's own weekly hours

One vet Monday, Tuesday and Friday; another Wednesday to Saturday. Set once, and the booking page respects it without anyone checking.

02

Day-off overrides and surgery days

Block Thursday morning for surgery or a week for a conference. The slots disappear from the page and reception sees the block on the calendar.

03

Buffers between consultations

A 30-minute consultation with 10 minutes after it to clean the room and write the notes. The next slot starts when the room is actually ready.

04

One calendar for the whole team

Reception sees every vet side by side for the day. A vet who should only see their own column can be limited to their own schedule.

05

Phone bookings in the same list

A caller wants Tuesday with a particular vet. Reception picks the slot on the calendar; it is gone from the page the same second.

06

Confirm automatically or by hand

Let bookings confirm themselves, or keep manual approval so reception checks each one before the owner gets the confirmation email.

Set the team up once, run every day from one screen.

No onboarding call, no setup fee. Most clinics have every vet's hours in by the end of the afternoon.

  1. 01

    Create the account

Your clinic and its first location. Two minutes, no card.

  2. 02

Add the vets and their hours

Photo, title, weekly hours and the days that are blocked. Then the services with duration, price and buffer.

  3. 03

    Open the calendar at reception

Share the booking link and keep the day view open on the front-desk screen. Phone bookings go straight in.

Requests to approve and every change to the day, posted in reception's chat

Chat alerts, webhooks, write API keys and ad conversions are part of the Appointments module at no extra cost. No add-on, no higher tier, no per-event fee, however many vets share the calendar.

  • Google Ads
  • Meta
  • Google Analytics 4

One ad report for every vet's online bookings

Each confirmed online booking, whichever vet it is with, goes to Google Ads, Meta and GA4 as one conversion worth the service price. Sending hashed owner contact details to Meta is optional.

Requests waiting for approval ping the desk

With manual approval on, every new request lands in reception's Microsoft Teams or Slack channel within seconds. Reception opens it from the link, checks it against the surgery morning and confirms.

  • Zapier

  • n8n
  • Pipedream

n8n on your own server, no code

Clinics that keep data in-house can run n8n self-hosted: every appointment arrives there as signed JSON and moves on to your own database or spreadsheet with no third-party cloud in between.

  • Webhooks
  • REST API

Confirm and cancel from your own system

A write API key lets your practice software confirm, cancel, complete or mark a no-show, and each change fires the same webhooks and conversions as the calendar. 50 requests a minute per key.

Priced by vets, not by bookings.

From $39 a month for a practice with up to 3 vets and 10 services; $69 for up to 7 vets and 20 services. The shared calendar, the booking page, unlimited bookings and the confirmation and reminder emails are all included.

A second clinic gets its own calendar and its own subscription under the same account, with staff scoped to their location. A loyalty card, a QR menu or table reservations can be added later; they are switched on separately.

Questions practice managers ask before switching.

Can each vet have different working hours?

Yes. Every vet has their own weekly hours and can override any day: a surgery morning, a conference, a holiday. The booking page only offers slots inside those hours.

Can I stop a vet from seeing the other vets' bookings?

Yes. A vet can be limited to their own schedule, so they see their own column and nothing else. Reception and the practice owner see the whole calendar.

Do pet owners need an app to book?

No. The page opens in the phone's browser from a link on your website, Google profile or Instagram. There is nothing to install and no account to create.

How do phone and walk-in bookings get in?

Reception picks a free slot on the calendar and enters the owner's details. It sits in the same list as the online bookings and is gone from the page the same second.

What is a buffer and why would I use one?

Buffer time is minutes added after a service before the next slot can start. Ten minutes after a consultation covers cleaning the room and writing the notes.

Can reception approve bookings before they are confirmed?

Yes. Choose manual approval and every online booking waits for reception to confirm it from the dashboard; the owner gets the confirmation email after that. Or switch to automatic.

What does it cost for four vets?

Four vets is the middle tier: $69 a month for up to 7 vets and 20 services. Up to 3 vets is $39. Paid monthly by card, no contract, and the first 14 days are free without a card.

What happens if I stop paying?

After a short grace period the booking page is paused with a brief “temporarily unavailable” note. Nothing is deleted: the calendar, the vets and every booking stay. Pay again and it is all back.

Can reception get a Microsoft Teams alert when an owner requests an appointment that needs approval?

Yes. Add a Teams Workflows webhook under Integrations, choose the booking requested event, and TapTime posts a card with the owner, the time and a button back to the calendar. Confirmations and cancellations can go to the same channel or to a different one.

Give reception the whole day on one screen.
