Everyone who touches TapTime should have their own login. It costs nothing, it means a stamp or a canceled booking has a name against it, and it means one person leaving does not require everyone to change a password.

They set their own password from the link. You never see it, and nobody has to invent one for them.
The roles
| Role | Can do | Typically |
|---|---|---|
| Owner | Everything, including billing and removing people. | You, and possibly a business partner |
| Manager | Everything operational: menus, bookings, calendars, loyalty, team. Not the billing. | A general manager, a head of venue |
| Staff | The day-to-day screens for the locations they are on — the board, the calendar, the scan screen. | Hosts, waiters, baristas, reception |
| Specialist | Their own appointments, and nothing else. | A stylist or a doctor who only needs their own day |
Access per location
Access is per location, so the manager of your second venue sees that venue and not the first. Somebody who genuinely runs both gets both.
When someone leaves
Deactivate them on the team screen. Their access ends immediately, and everything they did — stamps given, bookings taken — stays in the history with their name on it, which is what makes the history useful.
Frequently asked
How many people can I invite?
As many as work for you. Team members are not charged per seat.
Can two owners exist?
Yes. Business partners usually both hold the owner role so neither is locked out.
Someone did not get the invitation.
Check the spam folder and the spelling, then send it again from the team screen. Invitations expire after a while, so an old one may simply need re-sending.
